Use 'Email Management' to pull in emails from an IMAP email account. You can then associate them with a project. For more detailed information about this please see our 'Attach to Record' below.
A quick run through of the options available in the email manager...
- Check for Email: Downloads new emails and updates the list.
- Preview: Displays a preview of the selected email.
- Attach to Record: Associates an email with a project or enquiry (see below).
- Delete: Deletes the selected email (PLEASE NOTE: The email will also be deleted from the server).
- Setting: Adjust email account settings.
To associate an email with a Project, select the email and click 'Attach to Record' as shown above. You will then be presented with a window as shown below.
Select the project reference code and year of the the project that you would like to associate the email with. Click 'Refresh Grid' to display all projects with the reference code selected, select the project you would like to associate the email with and click next.
You will then be taken to the next tab, where you can review any attachments that are included in the email.
Any attachents that are included in the email will be displayed here. To include an attachement with the project, make sure it is ticked and click 'Store Email Now'.
You will then be asked if you would like to delete the email from the server. If you click 'Yes', the email will be deleted from the email account, however the email will still be stored in the project that it has been associated with.
Within a project, emails are stored as notes in the 'Activity' tab, and attachments are stored as a file in the 'Documents' tab.
